Terms & Conditions
Last updated: REPLACE_DATE. These Terms govern your use of Sudmaz (“we”, “us”, “our”) website and services. By using the website or requesting any service, you agree to these Terms.
1) Definitions
- Client/Student: any person who uses the website or requests services.
- Services: consultation, application & admission support, visa guidance, travel coordination, airport pickup, accommodation support, and related assistance as described on our website or quotation.
- Education Providers: universities, colleges, language institutes, or other institutions in Malaysia.
2) Scope of Our Services
We provide coordination and support services. We are not a Malaysian government authority and do not issue admissions or visas. Admission decisions are made by Education Providers; visa decisions are made by competent authorities.
3) Eligibility
You confirm that the information you provide is accurate and that you have legal capacity to enter into an agreement. If you are under the legal age in your country, a parent/legal guardian must request the service.
4) Service Requests & Communications
Services can be requested via the website, WhatsApp, or email. We may request preliminary documents to assess your case. You agree to receive service-related communications (updates, document requests, invoices, scheduling).
5) Documents & Accuracy
- You are responsible for providing true, valid, and up-to-date documents.
- Errors, missing documents, or false information may result in delays or refusal, for which we are not liable.
- We may refuse or terminate services if fraud or misleading information is suspected or confirmed.
6) Fees & Payments
- Our fees are based on the package/quotation shared with you.
- Additional third-party fees may apply (not paid to us), such as: institution fees, visa/government fees, medical tests, translation/legalization, flights, insurance, and accommodation costs.
- Payments are generally non-cancellable once the agreed stage has started, unless stated otherwise in the quotation.
7) Cancellation & Refund Policy
As our services involve administrative work and time, refunds depend on the stage completed:
- Before work starts: refundable minus any payment gateway/transfer fees (if applicable).
- After consultation/file preparation begins: consultation and file-prep fees are non-refundable.
- After submission to an Education Provider: no refund for that stage; institution fees follow the institution’s policy.
- After visa submission: no refund for that stage, and no refund of government/authority fees.
Note: admission refusal or visa refusal does not automatically entitle you to a refund, as the service may have already been performed.
8) Admission & Visa Disclaimer
- We provide guidance and follow-up to reduce errors, but we do not guarantee admission or visa approval.
- Requirements may change without notice and final decisions are made by third parties.
9) Travel, Accommodation & On-ground Services
- Bookings (flights/housing/transport) may be handled by third-party providers and are subject to their terms.
- You are responsible for meeting travel deadlines and carrying valid documents.
- Airport pickup and housing support depend on availability and the correct arrival information you provide.
10) Changes & Delays
Delays may occur due to intake seasons, third-party processing times, or late document submission by the client. We will make reasonable efforts to follow up, but we are not responsible for delays beyond our control.
11) Intellectual Property
All website content (text, logos, visuals, design) is owned by Sudmaz or licensed to us and may not be copied without written permission.
12) Privacy & Data Protection
We use your data to provide services and may share it with Education Providers or service partners involved in your request. Please review our Privacy Policy for more details.
13) Limitation of Liability
To the maximum extent permitted by law, we are not liable for indirect or consequential losses (including loss of opportunity, loss of profits, or incidental costs) resulting from third-party decisions, incorrect documents, or delays beyond our control.
14) Termination
We may terminate services if you fail to provide valid documents, misuse the service, breach these Terms, or if delivery becomes impossible due to circumstances beyond control.
15) Governing Law & Jurisdiction
These Terms are governed by the laws of REPLACE_JURISDICTION. Any disputes shall be subject to the courts of REPLACE_COURTS, unless mandatory law provides otherwise.
